Green Lodging Solutions LLC ("GLS," "we," "our," or "us") is committed to protecting the privacy of our employees, contractors, and authorized users of the GLS Staff Portal ("Portal"). This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

1. Who This Policy Covers

This Privacy Policy applies exclusively to current employees, contractors, and authorized business contacts of Green Lodging Solutions LLC who access the GLS Staff Portal at glsstaff.com. This is an internal workforce management tool and is not open to the general public.

2. Information We Collect

We collect the following categories of information in connection with your employment or contractor relationship with GLS and your use of the Portal:

• Identity information: Full name, employee ID, job title
• Contact information: Email address, phone number, mailing address
• Employment information: Hourly rate, employment type (employee or contractor), work assignments, payroll periods, hours worked
• Financial information: Payroll amounts, expense submissions and receipts
• Location and job data: Job site addresses, travel requests, lodging information related to work assignments
• Device and access information: IP address, browser type, login timestamps, and audit log entries generated by Portal activity
• Communications: SMS messages sent via the Portal's notification system

3. How We Use Your Information

We use the information collected solely for legitimate business and employment purposes, including:

• Processing payroll, tracking hours worked, and managing expense reimbursements
• Assigning and managing job sites and work schedules
• Sending SMS notifications regarding payroll deposits, timesheet status, and job assignments
• Maintaining records required by law (tax filings, labor records)
• Generating quotes, invoices, and reports for GLS clients
• Ensuring the security and integrity of the Portal and GLS systems
• Audit and compliance purposes

4. SMS / Text Message Communications

With your consent, GLS may send you SMS notifications for workforce-related purposes only, including payroll confirmations, timesheet updates, and job assignment notifications. Message frequency varies based on business activity. Standard message and data rates may apply.

To opt out at any time, reply STOP to any message. To opt back in, contact your manager or update your preferences in the Portal. For help, reply HELP to any message or contact rob@greenlodgingsolutions.com.

We do not share SMS opt-in data or phone numbers with third parties for marketing purposes.

5. How We Share Your Information

We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:

• Service providers: Third-party vendors who help us operate the Portal (Supabase for database hosting, Twilio for SMS delivery, Resend for email delivery, Netlify for hosting). These vendors process data only on our behalf under data processing agreements.
• Legal requirements: When required by law, court order, or government authority.
• Business protection: To protect the rights, property, or safety of GLS, our employees, or others.

6. Data Retention

We retain employment-related records for a minimum of seven (7) years as required by applicable federal and Florida state law. Payroll and tax records may be retained longer as required by the IRS and Department of Labor. Access logs and audit records are retained for two (2) years. Upon termination of employment or the contractor relationship, your Portal access is revoked promptly.

7. Security

We implement industry-standard security measures to protect your information, including encrypted data transmission (HTTPS/TLS), secure authentication via Supabase Auth, role-based access controls, and audit logging of all Portal activity. No system is completely secure, and we cannot guarantee absolute security; however, we take reasonable precautions to protect your data.

8. Your Rights

Depending on applicable law, you may have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your information (subject to legal retention requirements)
• Opt out of SMS notifications at any time by replying STOP

9. Children's Privacy

The Portal is intended solely for adults employed or contracted by GLS. We do not knowingly collect information from individuals under the age of 18.

10. Changes to This Policy

We may update this Privacy Policy periodically. When we do, we will update the "Last Updated" date at the top of this page and notify active Portal users via email. Continued use of the Portal after changes constitutes acceptance of the updated policy.
